Expense Policies Overview

We understand how challenging it can be to manage expenses across global teams while ensuring compliance with T&E policies and local regulations. In response to this, we're introducing Expense Policies, a feature designed to address this pain point for global teams. 

With this new feature, admins now have the ability to:

1. Collect receipts, notes, and invoices on certain purchases

  • Admins can require receipts and notes for Jeeves Card purchases over certain amounts
  • Admins can also require invoices and notes for Jeeves Pay transfers over certain amounts

Once you have turned on the Expense policy and define its amounts, the following notification will appear upon the next card or vendor payment:
⇾ Card Payment: Receipt and note required for this transaction
⇾ Vendor Payment: Invoice required for payments over “defined amount”

2. Track expenses company-wide

Transactions that require attention will be marked in the “Needs Attention” section of the platform until the required documentation is provided. This allows finance teams to efficiently track which transactions require receipts or notes. 

3. Automate email reminders to employees to collect missing information

When a card transaction is highlighted in the dedicated “Needs Attention” section on the dashboard, the spender will receive an email notification reminding them to upload the missing information. The email will include a one-click link, allowing them to upload the necessary documentation directly, eliminating the need to log in or follow a complex process. 

Additional Functionalities

  • Admins and managers can easily view team members' transactions that require attention and send email reminders with a single click to ensure prompt compliance.
  • Admins and managers will receive weekly summary emails about transactions needing attention.
  • Admins and managers can provide reasons for missing receipts, such as losing the receipt or not being provided by the business.
